Sustainable Purchasing

Through this pillar, Minor Hotels Europe & Americas strengthens its sustainable value chain, prioritising key partnerships, increasing consumption from local suppliers and responsible organisations. Minor Hotels Europe & Americas’ relations with its suppliers are based on communication and transparency, in order to promote the development of innovative and sustainable solutions.

Procurement policy

Minor Hotels Europe & Americas has a formal and mandatory Purchasing Policy, which sets out the guidelines to be followed by the various departments, whether Corporate or Business Unit, in situations that affect or may affect the Company’s outsourcing. The Purchasing Policy helps strengthen:

  • The commitment to guarantee transparency, honesty and ethics in the purchasing function.
  • The need to carry out professional contracting processes to optimize results.
  • The need for alignment with internal control guidelines, as well as timely updating and communication to all company employees.

As a sign of this commitment, on July 25, 2023, the Board of Directors of Minor Hotels Europe & Americas approved its Sustainable Purchasing Commitment, a document that complements the Company’s and Coperama’s Purchasing Policy. This commitment focuses on the products, services and activities of Minor Hotels Europe & Americas suppliers that may have an impact on the Company’s reputation, affecting the level of trust with other stakeholders. Suppliers shall comply with Minor Hotels Europe & Americas’ Purchasing Policy as well as the standards listed in that commitment, applicable laws and regulations, requesting the same from their supply chain, including third party labor agencies.

In line with this commitment, Coperama is developing the eCOperama platform. This platform will be comparable and complementary to Coperama. From thist platform, the company will analyze and display a public assessment of suppliers with respect to their performance in ESG issues considered by the group. This assessment will be reviewed periodically and will require the supplier to make action plans and improve their sustainable performance if necessary. In some cases, on-site visits are carried out to ensure compliance of suppliers and their products with the required criteria. As a result of this evaluation, feedback will be given to the supplier, the situation will be analyzed and the selection of suppliers with a better ESG assessment will be promoted. The supplier will also be accompanied in its sustainable development.

The evaluation of suppliers and their products will be a transparent process that will serve as a reference when purchasing. The development process will also be accompanied by educational work for the different agents (buyers and suppliers).

 

Packaging commitment

As part of the group’ environmental awareness and commitment, the company has started to implement programmes to increase the use of reusable packaging. One of the most important examples is in the Netherlands, where such programmes have been piloted. In the near future, this will be implemented in various countries and by 2030 in all hotels in the company’s portfolio.

Key measures of our environmental commitment, in line with European legislation, include banning single-use plastic plates and cups in the hotel and eliminating the use of plastic containers for breakfast in all portfolio hotels by 2030. In addition, by the same year, the company will stop using single-use plastic containers in rooms, including previously standardised amenities and other items.

In 2023 we have analyzed the purchases made by the company to extract the most used packaging materials. For this, primary packaging of purchases made in the categories: Water, juices and nectars, soft drinks, other non alcoholic drinks, bottles, can, wines, alcoholic drinks and amenities were analyzed.

 

Supplier Approval

The selection of suppliers, and the working relationship with them, is based on transparency, honesty and ethics with the clear goal of assuring an excellent, efficient and high-quality provision of services.

Since 2010, the different procurement departments of the Company have become the different Coperamas (companies wholly owned by Minor Hotels Europe & Americas). Their function consists of seeking, rating and approving suppliers, as well as negotiating and contracting the goods and services necessary for the correct operation of hotel management.

Minor Hotels Europe & Americas encourages certified procurement in most of its hotels, with the need for the required products being identified by each hotel. Coperama’s task is therefore to approve, certify and authorize potential suppliers. In conjunction with our responsible supply goals, we will continue to identify high-quality products that are environmentally acceptable and socially responsible. These efforts will contribute to the development of responsible products in all geographical areas where we are present and in the future.

Following the principles of our Corporate Purchasing Policy, we strive to promote equal opportunities and to encourage local purchasing in each region where operations take place.
