No matter at what stage of the planning process you are, even if you’re analyzing the impact of your recent event, take a moment to consider the following 10 questions to ask an event planner to evaluate whether you are going in the right direction. Dropping yourself out from the process for 30 minutes to evaluate the state of the project gives you the chance to ask these questions that will help you identify the areas which need to be strengthen, readdressed or removed.

It could be your annual team building session, networking events orchestrated on a monthly basis, a product launch or a one-off fair that involves numerous exhibitors, there is always opportunity to increase the ‘wow’ factor. You’ll know very well, that event planning is often overwhelming business and there are times that you get so caught up in the organization and logistics of things that you can lose sight of important aspects that are integral to its (and your) success. 1. Do you have a narrative for attendees to follow?

Storytelling is big and is one of the strongest tools you can use to reach your audience in more ways than one way… and this doesn’t mean you actually have to tell a story but continuity counts. Just make sure that the narrative your spinning doesn’t have incomplete chapters.

2. Is your idea a disruptive one?

What’s the twist that will make your event memorable and at which moment? Throughout the whole action? A special guest? Unexpected gastro options that surprise? You need to find that spark that your attendees will remember after the day is done, no matter how small or extravagant it may be.

3. Can you think outside of the box?

What else can you do to put an original, impactful spin on the content and narrative that you’ve already crafted?



4. Is it going to engage all the senses?

More than ever, to impress you need to make the right impact on all the senses. People want immersive experiences that touch upon all their senses. Depending on the purpose of your event, which senses are primary, and which are secondary, and how will you leave an impression on them?

5. Are you telling, sharing, or involving?

Make sure you have a action plan that lists the learning outcames that you hope your attendees will go through during your event. How will they impact on the overall message that is woven through everything you have done so far?

6. Will the event empower people?

How and why? Ask yourselves this to identify where this notion can be strengthened at the right time.

7. Do the sponsors share the same values and idea?

Make full use of sponsors you’ve enlisted for your event and see how they can be more than just a sponsor and part of the bigger picture of your event.

8. Are you maximizing the impact of social media?

One of the most important questions to ask as an event planner in this day and age: don’t underestimate the power that a simple social media strategy could have on your attendees. If done correctly, you will be able to take them on a journey from first through to post-event contact.

9. Are you taking advantage of technology trends and tomorrow’s tech?

Incorporate unexpected uses of technology to create interaction with the message, product, attendees or more. Perhaps it’s the use of interactive zones or maybe ingenious implementation of the latest programs to create stunning videos and visuals.

10. Are the KPIs you set going to be met by your event?

It’s never too late to ensure that the KPIs are being measured and in fact going to be met by the event being created. Are there key moments that will make or break the outcome of these KPIs? Which are they? And are you sure it’s those?
