Meeting Planner

You’ve cringed at them in magazines. You’ve laughed at them on management blogs. You’ve probably even drifted off to one while perusing an in-flight magazine. Well, now the most amusing personality quiz comes to NH Meetings’ blog. Let’s have a little fun and see how you would deal with these situations…

Q1: It’s the morning of your biggest ever event – a car launch for a major international manufacturer – and last night’s power cut resulted in your alarm not going off. Best-case scenario you’re going to arrive at the hotel venue at the same time as the first guests. Do you…

A – Roll over for a final stretch before making your way casually to breakfast. You’re comfortable that the steps already put in place mean that the event will still start smoothly whether you’re there or not. You then get yourself ready and head in to take over the reins.
B – Pop open your MacBook and start the remote coordination. Your team is all inter-connected and through the channels set up the conversation isn’t limited by being face-to-face.
C – Jump out of bed and immediately call the hotel to make sure that they are aware of the situation. You arrange for appropriate cover to be put in place and explain exactly what needs done until you get there pointing out that the standards agreed during the planning phase cannot slip. Taxi ordered to replace the bicycle ride you had planned where you can have a coffee and croissant on the go.

Q2: It’s the middle of event day and there are a few issues that need ironed out. Your boss knows you well and therefore knows exactly where to find you as:

A – You’re in the break out area or strolling around outside. You keep popping into the action to keep an eye on proceedings, casually mingle with the guests, but things are generally ticking along as expected. You pick up on the issues on your cell phone and head over to where your attention is required. Some people are panicking, until they see your calm demeanor, and the fire is gradually put out.
B – You’re at the presentation detailing the latest gadgets to be installed. The event is ticking along nicely so you’re trying to get ideas for the future. You’re constantly checking in with the team via the mobile apps that keep the communication loop flowing, giving advice on how to manage issues as they arise.
C – You’re in the thick of all the action. You are jumping between rooms, making sure everyone is where they should be, that all speaker requirements are working as planned and that break-out areas, lunch preparations and the afternoon schedule is all as it should be. Those issues that need dealing with won’t have long to wait…you’ll soon turn up.

Q3: It’s a week after your event and you’re providing a review of what went on to your team. The message of your summary is:

A – That was nice and easy. Let’s try to iron out a few of the issues up front next time so that we can manage the flow better on the day.
B – How much fun was that? Now, we need to think of more alternatives to surprise our guests and find ways of incorporating that new tech I saw discussed online.
C – Keeping to our standards was key. We got in and amongst everyone and picked up on issues as they arose. On to the next one.
